How to Set-Up and Use Kaamfu’s Desktop Application

Steps to Download the Workstation Connect Application #

To download the application, you first need to complete the sign-up process, as detailed below:

Step 1: Click the invite link #

Getting started with Kaamfu begins with signing up for the platform. For this, you need an invitation to sign up on the platform. Organization owners need to invite their team to the platform. An invitation mail is sent to them with a link, as shown below. Click on this link to go to the sign-up page.

Step 2: Enter your details #

Once you’re directed to the sign-up page, go to the Sign-up tab and fill in your email address. Set a password and then click Sign-up.

Step 3: Verify your email address #

After submitting your details, a verification code will be sent to your email. Locate this email, copy the code, and paste it into the verification field on the sign-up page. Click Verify to continue.

Step 4: Getting Started Process #

Complete the first two steps of the Getting Started Process, which are creating your profile and accepting the invitation.

Step 5: Install Kaamfu Workstation Connect #

Now it’s time to install Kaamfu’s time-tracking application, Workstation Connect.

To do this:

  • Click Download, as indicated above, to obtain the setup file.
  • When the file has been downloaded, double-click it on your computer to begin the installation process.

Note: If you’re prompted to allow your system to run the application, click More Information and then select Run Anyway.

Step 6: Log-in to Kaamfu Workstation Connect #

Once installed, the Kaamfu Workstation Connect application will open. Select your organization from the dropdown menu.

A work agreement window will appear. Check the box to accept the terms, then click Yes, Proceed. You are now logged into the Workstation Connect application, which will automatically start tracking your work.

Step 7: Click Let’s Go on the Getting Started page #

A pop-up window will appear. Click Okay to confirm.

You will then be redirected to the Kaamfu Web Application to continue setting up your workspace.

Note: Organization owners are not required to use the desktop application. However, if you wish to explore it, you can follow the sign-up process using a demo email address created within your domain. This approach allows you to download the application and test its functionality using the demo account.


Set Up Your Workspace #

Organizing your workspace is critical to maximizing Kaamfu’s efficiency. This step helps you structure your workflow for better productivity. You can achieve this by:

  1. Creating your Workspace: Navigate to the Work Panel to add departments and projects. This helps structure your work environment. To know how to build your workspace, take a look at this article.
  2. Request a Default Workspace: If you’d prefer a pre-configured setup, contact the Kaamfu team to create a default workspace for you, similar to what’s shown below.


Invite Your Team #

Onboarding your team ensures that everyone is aligned and ready to collaborate effectively using Kaamfu. Invite team members by sending them an invitation through the platform. Alternatively, you can assign an employee to handle the onboarding process. Detailed steps for inviting team members are available in the Kaamfu Help Center.


Mandate the Workstation Connect Application #

This step is critical for maintaining consistent functionality across your organization. It is important that all team members use the Workstation Connect application. To mandate this, follow the below steps:

Step 1 #

Navigate to the Team Panel in the left-hand menu.

Step 2 #

Select an employee’s profile and click the Screenshots option at the top.

Step 3 #

Open the menu (burger icon) and click on the check box to mandate that they use the Workstation Connect application. 

Make sure that this process is done for all your employees. Once your team members join the workspace and start using the application, screenshots and productivity metrics will be captured automatically.


Features of Kaamfu’s Workstation Connect Application #

Kaamfu Workstation Connect offers a range of features to enhance productivity and provide actionable insights. 

For Windows #

Currently, Kaamfu has its desktop application built for Windows users only. It has features like:

  • Web Screenshots: View captured screenshots in the Team Panel of the Kaamfu web application.
  • Local Screenshots: Access temporary local storage for screenshots captured during the day.
  • Export Work Logs: Download detailed activity logs in spreadsheet format for review.

For Other Operating Systems #

Currently, the desktop application is available only for Windows. Versions for Mac and Linux are under development.


What Activities Does the Desktop Application Capture? #

Kaamfu Workstation Connect tracks various activities to provide a comprehensive view of productivity. These insights help managers assess performance and identify areas for improvement.

  • Active Window Monitoring: Tracks which applications and files are actively being used.
  • Mouse Travel Capture: Measures the distance covered by the mouse during work hours.
  • Mouse Click Count: Logs the number of mouse clicks performed.
  • Keystroke Count: Tracks the number of keystrokes entered.
  • Screen Capture: Captures screenshots at regular intervals.


How Does Desktop Tracking Work? #

Kaamfu’s desktop tracking system is designed to be transparent, efficient, and user-friendly. Here’s an overview of the process:

  1. Download and Installation
    Employees must download and install the application during signup.
  2. Mandate the use of the application
    As the organization owner, you (or an admin appointed by you) should mandate using the application for all employees, as shown above.
  3. Task assignment
    Assign tasks to your team members so they can start working, and the application will begin time tracking.
  4. Start the Workday
    For your employees to begin working each day, you need to start the workday from your end.
  5. Daily Shift Logging
    Employees log in at the start and log out at the end of each workday using the application. 
  6. Terms and Conditions
    Users must agree to the terms outlining the data collection process, including:

    • Screenshots of the active desktop.
    • Keyboard and mouse activity.
  7. Screen Captures
    • Screenshots are taken at 3-minute intervals during active work hours.
    • Screenshots are accessible via the Kaamfu web application for both workers and owners.
    • Temporary local storage clears screenshots at the end of each workday.
  8. Reporting and Insights
    Managers can view detailed logs, access screenshots, keystroke counts, and activity metrics, in the Productivity Panel.
